Who we are

The Clinic Room is the controller of the personal information you give us through this website. Contact details for data questions will be published here once confirmed.

What we collect and why

To reply to a request or arrange a consultation (contract and legitimate interests): your name, phone number and/or email, the clinic you prefer, the concerns you selected and the answers you gave in the discovery questions. These are sent to the clinic's own booking and patient system, Clinic OS, where the team manages your enquiry.

Marketing (consent): only if you tick the optional box. You can unsubscribe from every email, or text STOP.

The online skin assessment: the concerns you select are used in your browser to build an educational roadmap. If you add a photo, it is sent once to an AI model operated by Anthropic to write a short, non-diagnostic note, and is not stored by us. Facial images can be special-category data; we process them only with your explicit consent on the assessment page, for that single purpose.

Saved roadmap: stored only in your own browser (local storage). We cannot see it.

Analytics (consent): with your permission we use PostHog to measure which pages help people book. No health information, photos or contact details are sent to analytics.

Who sees it

The clinic team at your chosen location, our booking and patient system (Clinic OS, hosted in the UK/EU), our email and text providers, and, for the optional photo note, Anthropic. We do not sell your information.

How long we keep it

Enquiries are kept for as long as needed to respond and, if you become a patient, as part of your clinical record under the clinic's retention policy. Marketing permissions last until you withdraw them.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, object to marketing, and complain to the Information Commissioner's Office (ico.org.uk).
